ProcMS

Built for school procurement teams

Every school peso has a story.
Keep it connected.

From the SIP and AIP to procurement, payment, and liquidation, ProcMS keeps the records behind a purchase together. See where the budget came from, what was approved, and what happened next.

Explore the four modules

Free to test

See the work, not just the pitch.

Explore sample schools, a sample budget, a connected plan chain, and open requests. Add records, try approvals, and print forms in the demo.

  • Nothing you enter is kept: the demo resets itself every day at 12:00 midnight, Philippine time.
  • It is separate from any real school's data.
  • Try Planning/SIP, Finance, Liquidation and Reports from the left menu.

Modules

Four places where a school's money work happens.

What is already in the system works in the demo today. What is for development is being built next.

In the system already working, try it in the demoFor development being built next

Planning / SIP

Plan once, and the rest follows.

Enter the school's plan on the official template. Approving the AIP creates the budget lines; the procurement plan and every purchase request trace back to it.

In the system

  • School Improvement Plan on the official template: programs, activities, Year 1 to 3 physical and financial targets
  • AIP with KRAs and activities, linked to the SIP; approval creates the budget lines
  • PPMP and APP with items, quantities and unit costs
  • Purchase requests that pick an approved APP item and stop at the remaining quantity
  • Official SIP and AIP printouts, ready for signature

For development

  • SIP and AIP accomplishment tracking against the targets
  • An option to require an approved APP item on every purchase request
  • Approval steps that each school or division can configure

Finance

Budget, accounts and cash in step.

Allotments are tracked by fund source, account code and quarter, and every obligation and payment is checked against the balance that is left.

In the system

  • Budget allocations with quarterly amounts, balances and budget reports
  • Allotment Registry and Chart of Accounts
  • Accounting: obligations and disbursement vouchers with journal entries, printable
  • Cash: payment processing for approved liquidations

For development

  • General and subsidiary ledgers, and the trial balance
  • Cash disbursement and cash receipt registers, with check records
  • Cash balance monitoring

Liquidation

Close the loop on every peso.

Each liquidation report is tied to the purchase request and the budget line it spent, so reviewers see the whole story on one screen.

In the system

  • Liquidation reports with ORS number, source of fund and purpose
  • Review and approval status, with the amount counted against the budget line
  • Printable liquidation report and voucher

For development

  • Supporting-document checklist, with deficient and returned documents
  • Liquidation register
  • Return for correction, then resubmit, with the history kept

Reports

Official documents now, analytics next.

Every official form prints from one engine, with a paper-size toolbar, so a school never rebuilds a form in a word processor.

In the system

  • Print or save as PDF with paper size, orientation and zoom controls
  • School and division logos on every header, set once
  • Audit log of who did what, and when

For development

  • Management dashboards: procurement, budget use, liquidation status and cash position
  • Reports per school and across a division: PPMP and APP, accounting, cash, liquidation and suppliers
  • Notifications by e-mail and SMS for approvals, returns and due dates

Platform

Built for many schools under one division.

A division or office can look after every school, while each school only ever sees its own records.

Every school stays separate

Records belong to one school. A user can never read or change another school's data.

Master, Sub-master, School Admin

The master sees everything. A Sub-master gets only the areas ticked on a checklist, and deleting needs its own switch.

Official Station Management

New users ask to take over a vacant school, transfer, or send any other request. The master approves with a note.

Files in each user's Google Drive

One user, one school, one Drive. Uploads go to the user's own Drive, never someone else's.

Daily backup

The whole database is backed up every day at 12:00 midnight, Philippine time, with a download history.

Roles that match the work

Budget officer, accounting officer, cashier, inspector, auditor and more, each with the access that role needs.

For development

What is being built next.

Planning / SIP, Finance, Liquidation and Reports are already in the system. This is what each one gets next, in the order the work is planned. Dates are not promised.

Planning / SIPSIP and AIP accomplishment tracking, an option to require an approved APP item on every purchase request, and approval steps a school or division can configure.
FinanceGeneral and subsidiary ledgers, the trial balance, cash disbursement and receipt registers with check records, and cash balance monitoring.
LiquidationSupporting-document checklist, deficient and returned documents, the liquidation register, and return for correction.
ReportsManagement dashboards, reports per school and across a division, and e-mail and SMS notifications.
